Job Summary: 

We are seeking an enthusiastic and detail-oriented Office Coordinator.  In this role, the Office Coordinator will act as a gatekeeper for the office and serve as the first point of contact for visitors.  This position is responsible for ensuring the smooth and professional operation of the Malouf Construction office environment for both internal employees and external visitors.   

This is a full-time, on-site position based in our Flora office, Monday through Friday. 

Key Responsibilities: 

  • Front Desk and First-Impression Customer Service 
    • Serve as primary point of contact for the office (in person + phone) 
    • Welcome visitors, respond to general inquiries, and route calls appropriately  
    • Maintain a professional, hospitable office experience for employees and guests 
  • Manage Daily Office Operations and Office Environment  
    • Coordinate day-to-day office operations to keep the workplace efficient and organized  
    • Maintain overall office functionality (shared spaces, kitchen stock, general tidiness) 
    • Ensure office equipment is operational and supplies are consistently stocked  
  • Facilities, Vendors, and Service Contracts  
    • Manage office vendors and service contracts 
    • Coordinate facility maintenance needs (cleaning, landscaping, pest control, etc.) 
    • Support smooth facility operations and address issues as they arise 
  • Process Improvement and Office Systems Ownership 
    • Create and implement office processes to maximize efficiency and consistency 
    • Oversee key office systems such as phone services and mail distribution 
  • Cross-Functional Administrative Support  
    • Provide administrative support across teams as needed (HR, Safety, Equipment, Estimating, Accounting, and Compliance)  
    • Support onboarding/applications, documentation/certifications, registrations/renewals, bid support and other assigned tasks 

Required Skill and Abilities: 

  • Reliable on-site coverage: Ability to be in the office and at the front desk/primary workstation the majority of the workday to maintain consistent coverage for phones, visitors, deliveries, and daily office needs. 
  • Strong customer service skills with a professional, welcoming presence. 
  • Highly organized with strong attention to detail and follow-through. 
  • Comfortable multitasking and prioritizing while staying responsive to the office. 
  • Proficient in Microsoft Office (Outlook, Word, Excel) and able to learn office systems quickly.
